Transforming Applicant Management

Project Brief

Dubai Business Associates (DBA) is a prestigious graduate program that attracts top-tier global talent. To streamline their recruitment process and enhance candidate evaluation, we developed a custom web-based recruitment portal tailored specifically to their multi-stage selection workflow. Our focus was on building a scalable system that enabled the DBA team to efficiently manage thousands of applications, improve internal collaboration, and prepare for future AI-driven enhancements.

The Challenge

The previous recruitment process at DBA involved a combination of emails, spreadsheets, and third-party form tools—resulting in:

  • Inefficient application tracking and evaluation
  • Disconnected communications between reviewers, coordinators, and management
  • No central repository for application data or reviewer feedback
  • Inability to rank or filter applicants intelligently at scale

The client needed a purpose-built solution that matched their unique multi-stage pipeline, could handle large applicant volumes, and was easy to use for non-technical staff.

Our Approach

We designed and built a full-featured recruitment portal from the ground up with the following key components:

  • Custom pipeline with stages like Applied, Reviewed, Interviewed, Finalist, Accepted
  • Drag-and-drop functionality to move applicants between stages
  • Filtering, sorting, and tagging options for better control
  • Left-to-right layout showing a list of candidates on the left and full details on the right
  • Resume, cover letter, and reference documents viewable in-app
  • Comments and notes per candidate to track internal discussions
  • Dashboard with visual insights on applicant flow and reviewer activity
  • Role-based permissions for admins, reviewers, and coordinators
  • Exportable reports and candidate summaries for board presentations
  • Designed the system to integrate AI scoring and natural language search
  • Future-ready backend to support LLM-driven query handling like “Show me female candidates under 30 with leadership experience”

Technology Stack

  • Frontend: Html5, React & Bootstrap
  • Backend: Laravel 11
  • Queue System: Laravel Queues with Redis for async task handling
  • Authentication: Secure login with session management and access control
  • Infrastructure: Deployed on cloud-based Linux servers with SSL and backups

Conclusion

By building a custom recruitment platform for DBA, we enabled their team to transition from a fragmented manual process to a centralized, efficient, and scalable system. The foundation is now in place to support future AI-driven features like automated scoring and intelligent search—ensuring DBA continues to attract and manage global talent with world-class tools.
